Privacy Notice
Last updated: 9 August 2026At a glance
- The public MVP has no consumer accounts, payments or user profiles.
- We use form submissions, venue and business-contact information, technical logs, optional search location and privacy-focused website analytics.
- We do not sell personal data, use advertising pixels or use search location for advertising.
- Venues and individuals can correct information, ask for removal, exercise data-protection rights or opt out of outreach at privacy@matchwatch.co.uk.
1. Who we are and contact details
MatchWatch Ltd (trading as MatchWatch) helps people discover pubs, sports bars, fan zones and other venues that may show live sporting events, and is the controller of the personal data described in this notice. The notice covers visitors, people who contact us, venue owners and staff, named business contacts, and people who provide or verify venue information, including information we collect from public sources. Business information is personal data where it identifies a sole trader, partner or named person.
Questions, rights requests and privacy complaints can be sent to privacy@matchwatch.co.uk. Our website is https://matchwatch.co.uk. Our registered company details and postal address are shown at the foot of this page.
2. Information we collect and where it comes from
| Category | Examples |
|---|---|
| Information you submit | Name, role, venue, business email or telephone number, and your message, correction or removal request. If you update a listing through the venue portal, also your confirmation that you are authorised to submit for the venue, and when you gave it. |
| Venue and listing information | Venue name, address, contact details, opening hours, facilities, events shown, booking link, listing status, verification date and source. |
| Venue contact and outreach records | Named work contact, job role, business contact details, their source, correspondence, and opt-out or suppression status. |
| Location and searches | A place you enter, or precise location shared after your browser asks permission; search filters. Used only to return nearby venues, never for advertising or outreach. |
| Technical data and analytics | IP address, request and error details, browser and device type, and aggregate page-view statistics from our limited, self-hosted analytics (a self-hosted installation of the Umami software). |
This information comes from you or your browser; from venue owners, staff and authorised representatives; from public sources such as venue websites, business directories, official social-media pages and open datasets; from our suppliers; and from our own checks and correspondence. Where we obtain a named venue contact from another source, we record the source and collection date, and we provide this notice in our first message or within one month.
Please do not send us special-category data (for example health, ethnicity or religion), criminal-offence data or personal information about children unless we have asked for it.
3. Why we use it and our lawful bases
UK data-protection law requires a lawful basis for each use of personal data. We rely on:
- Legitimate interests — to operate and secure the service (delivering pages, maps and nearby-venue search, preventing abuse, diagnosing errors); to build, verify and correct listings and record their sources; to answer enquiries; to measure aggregate usage with our self-hosted analytics, which you can switch off at any time in the Cookies and browser storage notice or the app’s footer; and to contact corporate venues about verification and listings after a legitimate-interests assessment.
- Consent — where PECR requires it for electronic outreach to sole traders and other individual subscribers, and for optional marketing. Consent can be withdrawn at any time.
- Steps before a contract — when a venue asks us about working together.
- Legal obligation — to answer rights requests, honour opt-outs and respond to authorities.
Before relying on legitimate interests for a material activity we consider its necessity, reasonable expectations and privacy impact, and you can object at any time (section 7).
4. Venue outreach, corrections and removal
Listings may contain publicly available business information. We record where key venue information came from and aim to distinguish unverified, venue-confirmed and user-submitted information; the public demo uses fictional examples. Updates made through the venue portal require a confirmation that the person submitting is authorised to act for the venue, that the information is accurate, that MatchWatch may publish the submitted details and images, and that the venue owns or has permission to use any images; we record when this confirmation is given.
Outreach messages identify MatchWatch Ltd, explain why the venue is being contacted and where we found the contact details, link to this notice and include a simple way to opt out. We do not use tracking pixels in outreach email. Corporate addresses may receive relevant B2B messages where PECR permits; sole traders and some partnerships are individual subscribers, so we do not email or text them unsolicited unless consent or a valid soft opt-in applies, and telephone outreach is screened against applicable preference services and our own suppression list.
To opt out, reply “stop” or email privacy@matchwatch.co.uk — we stop direct marketing and keep only the minimum needed to prevent re-contact. To correct, update or remove a listing, email privacy@matchwatch.co.uk identifying the venue and the change needed; we may ask for proportionate evidence of authority or accuracy. After a validated removal request we remove the public listing promptly and delete venue-contact details that are no longer needed, keeping only minimal suppression or dispute records.
5. Suppliers and international transfers
We share personal data only with:
- hosting, infrastructure, database, security, email and form-service suppliers acting on our instructions;
- CARTO (map tiles, using OpenStreetMap data) and Google Fonts, which receive the technical information needed to deliver the requested files;
- professional advisers under confidentiality;
- a venue or authorised operator where necessary to verify a submission or resolve a listing request; and
- courts, regulators or other authorities where the law requires or permits.
We do not sell or rent personal data or share it with data brokers or advertising networks, and analytics data stays on our own infrastructure. We protect personal data with proportionate measures, including access controls, encryption where appropriate and backups.
Some suppliers process data outside the United Kingdom. Where a restricted transfer is made, we use a UK adequacy regulation or contractual safeguards such as the UK International Data Transfer Agreement or the UK Addendum. Email privacy@matchwatch.co.uk for details of the safeguard relevant to your data.
6. How long we keep information
We keep personal data only as long as its purpose requires, then delete or anonymise it. In outline:
| Records | How long |
|---|---|
| Logs and analytics | Raw server logs and analytics records are deleted within days to a few weeks; aggregate statistics that identify no one are kept for up to 24 months. |
| Enquiries | Contact and venue-request messages are kept for 12 months after the request is closed. |
| Venue contacts | Named contact and outreach records are kept while a listing or relationship is active and reviewed at least annually; unused prospect details are deleted or anonymised after 12 months without engagement. |
| Verification records | Screening responses and supporting evidence are kept for the relevant season or listing plus a short period afterwards. |
| Suppression records | A minimal opt-out record is kept for as long as outreach could otherwise recur, reviewed annually. |
Backups expire through the normal backup cycle. We keep a record longer only where law requires it, a regulator or court directs it, or it is reasonably needed for a legal claim.
7. Your rights and complaints
You can ask for access to your personal data, correction, deletion, restriction or a portable copy; object to processing based on legitimate interests, including at any time to direct marketing; and withdraw consent without affecting earlier lawful processing. Email privacy@matchwatch.co.uk. We may ask for proportionate information to verify identity or authority. We normally respond within one month and do not charge a fee; the law allows longer for complex requests, and we will tell you if that applies.
If you are unhappy with how we handle personal data, please email privacy@matchwatch.co.uk first so that we can investigate. You can also complain to the UK Information Commissioner’s Office: https://ico.org.uk/make-a-complaint
MatchWatch is not aimed at children. If you believe a child has provided personal data unnecessarily, contact us and we will review and delete it.
8. Changes to this notice
We will update this notice when MatchWatch adds a material new feature, data use, recipient or retention period. The current version and update date are published at https://matchwatch.co.uk/privacy. If a change materially affects people whose details we already hold, we will take reasonable steps to bring it to their attention.
